SOUNDS INTERNATIONAL DISCO - TERMS AND CONDITIONS 2025

1. Booking Details

1.1. The Client is responsible for providing accurate and complete details of the event venue, including address, contact information, and specific access arrangements. Should discrepancies be identified during the DJ’s inspection of the venue, the DJ will notify the Client to rectify any issues promptly.

1.2. The Client must ensure that adequate time is allocated for the DJ’s equipment setup (typically 90 minutes before the event start time) and breakdown (60 minutes after the event ends). Access arrangements, including but not limited to stairs, lifts, parking proximity, and loading facilities, must be communicated in advance to avoid delays.

1.3. Both the Client and the DJ confirm that no third-party interests, overlapping schedules, or conflicting bookings exist for the agreed date and time of the event. Any conflicts arising after confirmation must be addressed immediately.

1.4. Payment of the booking fee, where applicable, secures the reservation and forms a legally binding agreement. Failure to pay the booking fee within the stipulated time frame, unless otherwise agreed in writing, may result in the DJ releasing the booking slot without prior notice.

 

2. Payments

2.1. Payments can be made via bank transfer (BACS) using the booking reference format provided (e.g., REF 0202-22). Payment instructions will be included in the booking confirmation.

2.2. Late payments, defined as those not made within 7 days following the event, will incur a £50 administrative fee. Persistent non-payment may result in legal action to recover the outstanding balance, including any additional costs incurred.

2.3. Cash payments must be pre-arranged and agreed upon in writing prior to the event. All cash payments must be made in full before the event commences to ensure service delivery.

3. Cancellations

3.1. Cancellations must be submitted in writing via email. Telephone cancellations will not be considered valid.

3.2. For cancellations made within 14 days of the event, 100% of the remaining balance will be due. Cancellations made earlier than 14 days before the event will result in the forfeiture of the booking fee or deposit, as applicable.

3.3. Cancellations due to unavoidable circumstances, such as severe illness or bereavement, may qualify for a refund of the booking fee or rescheduling of the event, at the sole discretion of Sounds International Disco. This excludes cancellations related to Covid-19.

3.4. In unforeseen circumstances that prevent the DJ from fulfilling their obligations, reasonable efforts will be made to secure alternative entertainment or reschedule the booking.

4. Conduct

4.1. The Client is responsible for ensuring that all guests behave in a manner that does not endanger themselves, other guests, or the DJ’s equipment.

4.2. The Client must supervise all guests, including minors, throughout the event. The Client will be held liable for any damages to the DJ’s equipment or personal belongings caused by guests.

4.3. Aggressive, violent, or abusive behavior directed at the DJ or staff will not be tolerated. The DJ reserves the right to terminate the performance immediately if personal safety is compromised, with no refunds issued.

4.4. Events involving minors (under 18s) must comply with legal adult-to-minor supervision ratios. It is the Client’s responsibility to ensure these requirements are met.

4.5. The DJ will act professionally and responsibly throughout the event, adhering to all legal and ethical standards.

4.6. Upon request, the DJ will provide documentation, including Public Liability Insurance (PLI), Portable Appliance Testing (PAT) certificates, and Disclosure and Barring Service (DBS) clearance.

5. Security

5.1. The Client is responsible for ensuring the safety and security of the DJ’s equipment throughout the event. This includes safeguarding the setup area from unauthorized access or interference.

5.2. The DJ is not liable for any damages or injuries occurring at the venue that are unrelated to the DJ’s equipment or services. Venue staff or the Client must identify and mitigate any hazards during setup.

5.3. Should any guest cause damage to the DJ’s equipment, the Client will be held financially responsible. Notification of the damage will be provided to the Client immediately, and the cost of repairs or replacements will be invoiced accordingly.

6. Health and Safety

6.1. The DJ will operate in compliance with the Health and Safety Executive’s (HSE) Electricity at Work (EAW) Act 1989. Failure by the venue to provide a safe environment may result in the DJ withdrawing from the event, with full payment remaining due.

6.2. In emergencies, such as fire, flooding, or public disturbances, the DJ is not responsible for venue evacuation unless specifically required by the venue’s fire safety protocols.

7. Venue

7.1. The Client must allocate sufficient time for the safe setup and dismantling of the DJ’s equipment. The DJ will ensure all equipment meets safety and compliance standards.

7.2. The Client must confirm that the venue has the necessary licenses for the event. The DJ cannot perform at unlicensed venues and must adhere to any licensing restrictions in place.

7.3. The Client must ensure adequate parking and convenient access for loading and unloading the DJ’s equipment.

7.4. Delays caused by the Client that impede the DJ’s setup will not entitle the Client to a refund or time extension.

7.5. If additional entertainment services are booked, the Client must ensure that sufficient space is available for the DJ’s equipment and performance area.

7.6. The DJ reserves the right to refuse to perform if the setup area does not meet safety requirements or is insufficient for equipment installation.

7.7. If unforeseen circumstances prevent the DJ from performing, alternative entertainment arrangements may be offered at the discretion of Sounds International Disco.

7.8. The DJ’s equipment is for exclusive use during the event and cannot be shared with other performers or used for dry hire.

 

8. Refreshments

8.1. While non-alcoholic refreshments for the DJ are appreciated, they are not required. Clients are requested to refrain from offering alcoholic beverages to the DJ or staff.

8.2. The venue must possess valid entertainment and liquor licenses. Compliance with these legal requirements is the responsibility of the venue, not the DJ.

9. Karaoke

9.1. When / If karaoke is booked alongside a disco, Sounds International Disco accepts no responsibility for guest complaints arising from conflicting entertainment preferences. Clients are advised to consider this when booking for private events.

9.2. While the DJ will make every effort to accommodate karaoke song requests, the availability of specific songs cannot be guaranteed.

9.3. Karaoke participation is undertaken at the guest’s own risk. The DJ reserves the right to suspend or terminate karaoke services if public safety is at risk.

9.4. The Client will be held liable for any damage to karaoke equipment, including microphones and speakers, with the full cost of replacements invoiced accordingly.

10. Photography and Video

10.1. Sounds International Disco may take photos or videos during the event for promotional purposes. Clients may opt out of this by providing written notice prior to the event.

10.2. For events involving minors, no photos or videos will be taken without prior consent from parents or legal guardians.
